Can someone give me the details of how this type of event works? What are the most important factors for a successful event?

Maybe need more details? Is this a version of a hunter pace?

Hunter paces are usually put on by hunt clubs in the off season to raise money and have fun. The course (or courses) is/are marked with surveyors tape or something and you have a set time to go over the course. Typically it was timed at "hunting" pace, which is pretty brisk and included jumps.

But most of these have turned into a multi-disipline timed trail ride and non-jumpers in other types of saddles want to participate. So many "hunter" paces have non-jumping courses and slower time allocations for shorter courses to appeal to everyone.

I could imagine one of these being called a "Trail Pace" but I am not sure..

Maybe the trail description on this site is what is meant?
